How Osastra handles information when you visit our website or contact the team.

Who we are and how to contact us

This notice explains how the Osastra team handles personal information in connection with the Osastra website and enquiries sent to us. For privacy questions or requests, email info@osastra.com. General game support is handled through our official Discord server.

Information used by the website

When you open a page, read development updates or download the client, your browser sends technical information to the services delivering that content. This includes your IP address, requested URL, browser information and the time of the request. Hosting and security services may record this information to deliver content, diagnose problems and prevent abuse.

If you contact us by email or Discord, we receive the contact details, username, messages and attachments you choose to share. Please send only information needed to handle your request, and never send passwords. Messages posted in public Discord channels can be seen by other members.

The public website currently has no player registration, forum posting, voting rewards or payment checkout. The separate staff panel uses staff accounts and authenticated sessions to manage development posts. Published journal content is publicly visible.

Why information is used

Information is used to deliver and protect the website, respond to requests, investigate technical issues and administer staff publishing. Where the GDPR applies, our legal basis for these activities is our legitimate interest in running a secure website and responding to people who contact us, balanced against their rights. A legal obligation may also require us to retain or disclose information. If a future optional feature requires consent, we will request it before that processing begins.

Cookies and optional analytics

When enabled, we offer optional Google Analytics to understand visits to public website pages and clicks on our official Discord link. Google Analytics loads only after you choose “Accept analytics”. If you reject it, no Google Analytics tag loads and no analytics events are sent. You can change your choice through “Privacy choices” in the footer. Withdrawing consent stops future measurement and removes the analytics cookies accessible to this website; it does not erase information already collected.

With your consent, Google receives page-view and Discord-click events, a cookie-based browser identifier and technical information involved in your browser’s requests. Our event configuration removes query strings and fragments from page addresses, reduces referrer addresses to their website origin, and does not send player names, account details or form contents. A Discord click records a click, not whether you joined the server. Account and administration pages are excluded from this implementation. Advertising personalization and Google signals are disabled.

Your analytics choice is stored in your browser for up to 180 days. Analytics cookies are configured to expire after 180 days without extending their expiry on each visit. If browser storage is unavailable, your choice may be requested again on another page. Google processes analytics information under its privacy policy; see also how Google uses information from partner sites. Analytics is optional and based on your consent.

Hosting services may use necessary security or access cookies, and the separate staff panel uses session cookies for authentication. Blocking necessary cookies may prevent staff login or security checks from working. The website does not include advertising pixels or embedded social media feeds.

Service providers and external links

The website is delivered through OpenAI Sites and Cloudflare infrastructure. Development updates and client downloads are served from the Osastra server hosted with OVHcloud. These services receive technical requests needed to deliver the site and its content.

Discord, Instagram, TikTok and X links open external services. Their own privacy policies apply when you use them. Email providers also process messages sent to our contact address. Provider processing may take place outside your country, including outside the European Economic Area; locations and safeguards depend on the service. Contact us for information about the providers relevant to your request.

This notice covers the website and related enquiries. Installing and playing the game involves additional account and gameplay data; this website notice is not a complete description of game-client or game-server processing.

How long information is kept

Google Analytics user-level and event-level data retention is set to two months, with resetting on new activity disabled. This setting does not control the retention of standard aggregated reports.

Support correspondence is kept for as long as needed to resolve the enquiry and any related dispute or security issue. Relevant records may need to be retained longer where required by law. Technical logs and backups are subject to the applicable service's retention arrangements. Published journal posts remain available until updated or removed. For details about a particular record or a deletion request, contact us at the address above.

Your privacy rights

Depending on applicable law, you may request access to, correction or deletion of your personal information, restriction of processing, or a portable copy where applicable. You may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw that consent without affecting earlier lawful processing.

Email info@osastra.com with your request and enough detail to identify the relevant interaction. We may need proportionate verification of your identity. Where the GDPR applies, requests are normally answered within one month; if a lawful extension is needed, we will explain it. Some rights have exceptions, such as records needed for legal obligations or claims. You may also complain to your local data protection authority.

Read more about these rights in the European Commission's guidance.

Changes to this notice

We will update this page when website features or relevant data practices change. The date above identifies the latest version.
